Responsible to the Admin Manager/ Payroll Manager / Director


1. To assist with office administration for admin and payroll

2. To assist with answering the phone and dealing with admin enquiries


1. To assist with general administration tasks including online filing, file management, scanning and preparation of documents.

2. To answer the telephone, respond to messages/emails and deal with enquiries.

3. To assist with computer data entry, including resident activity database, staff records and Planday records.

4. To assist with staff holiday applications, manage holiday records, annual holiday entitlement and managers holiday applications.

5. To authorise complex shifts worked on Planday, monitor approved shifts, authorise admin & managers shifts, allocate staff to the correct department/team.

6. To update change of hours records for; holiday entitlement and future booked holiday.

7. To analyse and record petty cash and credit card expenditure.

8. To ensure resident expenditure via credit card, Clevacard, bank payment and petty cash is recorded and recharged.

9. To maintain the register of recharge items for each resident.

10. To assist with resident holiday charging.

11. To produce monthly personal expenditure invoices, maintain the invoice register and send monthly invoices.

12. To assist with all payroll and accounting functions as required.

13. To ensure starters/leavers/promotions are set up on the appropriate systems, registers and have the correct keys issued, including for Planday, Nourish & Clevacard.

14. Keep NMDS database updated.

15. To perform other such reasonable duties as may be required.
