PERSONNEL COORDINATOR

Responsible to the Personnel Manager

PURPOSE OF THE POSITION

· To support the Personnel Manager in all aspects of staffing management and recruitment, across all services, to ensure the smooth running of the home.

· To manage the rota and day sheets to ensure staffing levels are at the required level to deliver a quality service designed to meet the individual needs of the residents.

PRINCIPAL RESPONSIBILITIES

· To discuss priorities for the forthcoming week with the Personnel Manager and agree any specific duties to be undertaken.

· To attend a weekly Rota Meeting with the Personnel Manager to discuss rota requirements.

· To support the Personnel Manager with the recruitment process undertaking job offers, reference requests and follow ups, DBS checks, pre-employment checklist info.

· To ensure that annual leave and long-term sickness are recorded on Plan-Day, as well as all other programmes that require the same info.

· To work across site, contacting and discussing shift vacancies/overtime with staff to arrange shift cover for uncovered shifts, holidays, training, sickness/other absences and appointments.

· To ensure Plan-Day is updated when shift cover is agreed and any events that may impact on staffing levels are recorded, discussed and communicated.

· To undertake a daily check on Plan-Day prior to verification by the Admin Assistant. Establish reasons for absences.

· To check the Training Planner to ensure that the Training Co-Ordinator has recorded training shifts on Plan-Day.

· To manage the staff and Care Co-Ordinator on-call cover.

· To check annual leave requests, ensuring they are in line with policies and procedures and within agreed levels.

· To review agency invoices and invoice queries raised by payroll to ensure they are correct and raise any discrepancies with agency.

· To be responsible for a designated areas of quality assurance to ensure compliance, completing weekly and monthly checklists as agreed with Personnel Manager.

· To undertake sickness entry on Plan-Day and issue and monitor return to work forms and support Personnel Manager with absence review meetings.

· To support the Personnel Manager and Training Co-Ordinator.

· To assist the administration team with phone answering.

· To report any concerns without delay to the Personnel Manager.

· To be a professional role model to all staff.

· To take part in staff meetings, training activities and supervisions as directed.

· To perform other such reasonable duties as may be required from time to time.
